Hospital Stay

From admission to discharge

Admission date confirmation

  • Once your application for hospitalization has been processed, we will arrange the day of your admission in line with your request.
  • The medical department will inform you of your admission date by phone or other means as soon as it has been scheduled.

Procedure on the day of admission

  • On admission day, please bring the following documents to the admission reception counter 20 or 21 on the 1st floor by the designated time (9:00 am-10:30 am), where you will complete the hospitalization procedure. (Please take a hospitalization reference number [pink file] located on the right side of counter 21 and wait.)
  • Patients who are being admitted to a special room on the 18th floor do not need to complete the 1st floor procedure. Please go directly to the 18th floor reception counter.
  • If admission occurs outside of hospital hours, at night, or on a holiday, please complete the procedure at the out-of-hours counter on the 1st basement floor.

Documents to bring

  • High-cost medical expense benefit (Eligibility certificate for ceiling-amount application) etc.
  • Other medical care certificates (if applicable)
  • Confirmation of entry to rooms with a room charge difference (consent form)
    (only for patients admitted to private rooms, etc.)
  • Certificate of discharge, if you had been discharged from another hospital within the past three months prior to your scheduled date of admission to our hospital.

What to bring for your hospital stay

  • Clothing
    Pajamas, underwear, outerwear (gown, cardigan, etc.)
  • Toiletries
    Face towel, bath towel, toothbrush, toothpaste, soap, shampoo, hairbrush, etc.
  • Daily necessities
    Tissue box
    Chopsticks, spoon, fork, cup with handle
    Writing materials
    Footwear that covers the heels
    Personal items such as eyeglasses, dentures, and those cases
    Earphones for TV use (also available for purchase at our hospital store)
    Clock or watch
  • Medicines you are currently taking and their instructions for use
    (documents showing the names of medicines such as a medicine notebook and instructions for use)
  • Hospitalization guide
  • Other necessary everyday items
*You will be informed if any items need to be prepared separately for testing or surgery.

Please do not bring to your stay

  • Devices such as electrical appliances
  • Fresh flowers (not permitted to prevent infection)
  • Pets and other animals

Notes

  • Keep your baggage to a minimum since we have limited space for storage.
  • Be sure to bring the Hospitalization guide with you upon admission.
  • A tea dispenser installed in each hospital ward is available for use.
  • You can rent post-surgery gowns used during surgery for ¥300 per piece in your hospital ward (some wards excluded) upon request by filling out a consent form. If you would like this, please contact your medical department.
  • Our hospital has adopted a rental system (paid service) for linens and apparel such as hospital gowns and towels to ease the burden on patients and their families of preparing and washing items necessary for hospitalization. (The pediatric ward is excluded from this service.) We accept requests at the Reception desk for rental hospitalization items located next to the escalator on the 1st floor.
High-cost medical expense benefit (Eligibility certificate for ceiling-amount application)
If you have public health insurance coverage in Japan, you can apply for a “High-cost medical expense benefit” in advance. You are only required to pay a pre-fixed ceiling amount at the accounting counters. If you have paid the full amount already without showing an “Eligibility certificate for ceiling-amount application (GENDOGAKU TEKIYO NINTEISHO)” “Eligibility certificate for ceiling-amount application and reduction of the standard amount of patient liability (GENDOGAKU TEKIYO ・HYOJUN FUTANGAKU GENGAKU NINTEISHO)”, you can claim a refund from your insurance provider.
(Note) the following items will not be covered by the refund:
Private room charge, pajama rental fee, hospital food service fee and some medical expenses which are not covered by medical insurance (including advanced medical treatment not covered by medical insurance)
To use this system, you will need to apply for it with your medical insurer in advance before your admission.

About discharge/transfer to other hospital

Discharge
  • Healthcare professionals will contact you regarding the discharge date after your discharge is approved by the doctor in charge.
  • The discharge time may be determined according to the usage condition of your bed.
Transfer to other hospital
Our hospital is a specific-function hospital that provides advanced medical treatment. Please note that because we focus on acute-phase treatment, if a patient's condition has stabilized and long-term treatment is necessary, he, or she may be required to transfer to another hospital.

Billing

How medical expenses are calculated

The Diagnosis Procedure Combination (DPC) system is used to calculate fees at our hospital.
The Diagnosis Procedure Combination (DPC) refers to the Bundled Payment System, which calculates a patient's overall medical expenses based on a fixed amount of medical expenses per day according to disease, surgery, and procedure names. For technical charges for specialized treatment such as surgery, rehabilitation, endoscopy, and dental treatment, medical expenses are still calculated using the Fee-For-Service System. Therefore, the amount of medical expenses associated with hospitalization represents the total of bundled payment and fee-for-service payment.
* For patients who use the Bundled Payment System for their hospitalization fees, the expenses for dietary treatment during hospitalization, expenses associated with surgery, endoscopy, dental treatment, various tests using cardiac catheterization, some expensive procedures, and prescriptions given at discharge are calculated separately from the hospitalization fees based on the Bundled Payment System.
* Please note that if the DPC is changed according to the name of the disease and treatment details, and the billing amount changes, we may contact you for additional billing or refund after discharge.

Paying your bills

Inpatient bill payment
On or after the 10th of each month, you will be informed of the billing amount for one month up to the last day of the previous month.
Please make your payment within 5 days after receiving your bill.
Billing upon discharge
You will be informed of the billing amount by the morning of the day of your discharge (excluding some hospital wards).
Please make your payment by the time of your discharge.
* For prior information about your hospitalization expenses, please contact the office staff in the hospital ward.
*Please note that if you are being discharged from the hospital on a non-consultation day or outside hospital hours and have not yet received a bill, the following partial amount must be deposited:
With health insurance: ¥20,000
Without health insurance: ¥50,000
* Please inform the counter if your copay is a fixed amount.

Patients without Japanese health insurance

  • If a patient not covered by the Japanese public health insurance is treated for a disease or injury, medical expenses will be calculated at 30 yen per point of medical remuneration points. (Consumption tax will be charged additionally) Total amount billed may be significantly higher compared to the average of the insurance card holders. Please be sure to ask your doctor or to contact the consultation counter 2 for information on the approximate costs before proceeding with your medical care.
  • If you have private insurance, please contact the insurance company for confirmation on your responsibility. We do not directly negotiate with private companies.
  • As a rule, those who are to be hospitalized or have an operation are required to pay the full amount of the estimated medical expenses in advance. All medical expenses received will be settled after the completion of all treatment.

You may request for medical records and certificates during your stay or after discharge.
During your stay
Please contact the office staff during 9:00 am – 5:00 pm on Monday through Friday.
After discharge
Please contact the outpatient department.
*If you are a patient of the Trauma & Critical Care Center, please contact their office on the 4th floor.
*If you request a certificate after being discharged from the hospital, its issuance may take several days.
There is a fee for the issuance of medical or other certificates, and the amount varies depending on the contents and format. For more information on fees and other details, please contact us in advance.
